The jobs it's built for
Catch-up bookkeeping
A new client hasn't touched their books in a year. The bank feed won't reach back that far, and typing 600 transactions isn't a good use of your time. Download the PDFs, convert them and import them a month at a time.
Broken or missing feeds
Feeds disconnect, skip days or never get set up. When you find a gap, convert the statements for just those dates and fill it.
Clients who send PDFs
Some clients will never give you bank access. They email statements. Convert them and keep moving.
Accounts without feeds
Some smaller banks, credit unions and store cards don't support feeds at all. Their PDFs work like any other.
A workflow that holds up
- Download one PDF per month. Monthly files keep each import small and each check meaningful.
- Convert and read the result. A reconciled statement matches its own opening and closing balances. A mismatch comes with the rows to check.
- Import. Use the .qbo file or 3-column CSV for QuickBooks, and the Xero CSV or OFX for Xero. Import only dates your feed doesn't cover.
- Categorize with rules. Set up bank rules in QuickBooks or Xero before importing so the bulk of it codes itself.
- Reconcile in the software. Because the import already ties to the statement, the reconciliation should close cleanly on the first try.
Step-by-step import instructions: QuickBooks Online, QuickBooks Desktop and Online (QBO files) and Xero.
Why "it reconciles" beats "it looks right"
A converter that drops one line on page 4 creates a problem you'll find weeks later, when the reconciliation in QuickBooks or Xero won't close. Then you're hunting through hundreds of transactions for one missing amount. Checking each statement against its own balances, before import, moves that problem to the moment it's easiest to fix.
What it costs a bookkeeping practice
Statements usually run 3 to 8 pages. Here's how that maps to plans:
| Your workload | Approx. pages/month | Plan |
|---|---|---|
| Occasional catch-up jobs | Under 150 total | $6 pack (never expires) |
| A handful of PDF-only clients | Up to 500 | Starter, $9/month |
| Regular catch-up and cleanup work | Up to 2,000 | Pro, $19/month |
| A busy practice or a big backlog | Up to 7,500 | Business, $49/month |
Annual plans include two months free. You can cancel anytime from the billing portal. Unused monthly pages don't roll over, but pack pages never expire. See pricing.
A tip for monthly clients
Even when a client's feed works, it can help to convert the official statement at month end and compare its total with the feed. If the converted statement reconciles and the feed doesn't match it, you know the feed missed something. It takes a minute and saves a long hunt later.
Honest limits
- No bank or software connections. You download a file and import it.
- No automatic categorization. Your QuickBooks or Xero rules handle that.
- No team seats or API.
- Password-protected PDFs need the password removed first.
- Scanned statements work, but they're slower and less accurate than downloaded PDFs.
Client data
Statements are processed in memory and not stored by StatementCheap. Converted rows go back to your browser and aren't kept on our servers. We keep only billing metadata like page counts. Extraction runs on Cloudflare Workers AI, which doesn't retain inputs or outputs after the response and doesn't train on customer content. No third-party AI company sees the files.
