Why card statements are harder

Credit card statements aren't laid out like bank statements. The summary box is full of numbers that aren't transactions. Payments, purchases, fees and interest often sit in separate sections. Some cards list transactions by cardholder. And there's usually no running balance to follow.

A converter that only grabs tables tends to miss sections or pick up the summary as if it were a purchase. StatementCheap reads the whole statement, keeps the transactions and leaves out the summary lines.

How the signs work

Card statements flip the usual logic, so we keep it simple and consistent:

  • Purchases, fees and interest are negative, because money is leaving your pocket.
  • Payments, refunds and credits are positive.

That matches how bank statements are converted. If you combine checking and card data in one workbook, a single SUM shows your net cash flow.

The balance check for cards

A card statement shows a previous balance (what you owed at the start) and a new balance (what you owe now). For a correct extraction, the new balance should equal the previous balance minus the sum of the converted amounts.

LineAmount
Previous balance owed1,200.00
Payment+1,200.00
Purchases (total)-820.40
Interest charge-15.00
Sum of transactions+364.60
New balance owed: 1,200.00 - 364.60835.40

We run that check on every card statement. If it doesn't match the statement, we tell you by how much, so you can find the missing or misread line.

What people use it for

  • Expense reports. Filter business purchases and paste them into a report.
  • Taxes. Total deductible spending by merchant or category in a pivot table.
  • Bookkeeping. Import into QuickBooks or Xero as a credit card account. See PDF to QBO.
  • Budgeting. See where the money actually went over a few months.
  • Disputes and audits. Search a year of charges in seconds instead of paging through PDFs.

Our guide to converting a credit card statement to Excel walks through useful formulas and pivot tables once you have the data.

Works with all the major issuers

The AI doesn't need a template for each card, so statements from any issuer work. We have download tips for American Express, Capital One and Discover, among others. Store cards and business cards work the same way.

Tips for card statements

  • Statement dates are not calendar months. A card's billing cycle usually runs from one closing date to the next, such as the 15th to the 14th. If you need calendar-month totals, filter by transaction date after combining statements.
  • Pending charges aren't on the statement. Only posted transactions appear, so a purchase from the last day or two of the cycle may show up on the next one.
  • Fees and interest are transactions too. They're easy to miss when you retype a statement by hand, and they matter for both the balance check and your expense totals.
  • Combining several months? Paste each converted statement under the last one and add a column for the statement month. Each statement has already been checked on its own.

How to convert

  1. Download the statement PDF from your card account online.
  2. Upload it on the converter.
  3. Check the reconciliation result.
  4. Download Excel, CSV, QuickBooks, Xero CSV or OFX.

Price

Card statements are often 3 to 6 pages, so the 5 free pages a day go a long way. After that, a $6 pack covers 150 pages and never expires, and plans start at $9 a month. We don't store your files: statements are processed in memory and the converted rows are not kept on our servers. See pricing.

Works with statements from any bank, including Chase, Bank of America, Wells Fargo, Capital One, Barclays and HSBC.

FAQ

Are purchases positive or negative?
Negative. Purchases, fees and interest are negative, and payments, refunds and credits are positive, the same way bank statements are converted.
Does it skip the summary box and promotional pages?
Yes. We extract the transaction lines and leave out summaries, rewards boxes and legal notices.
What if my statement lists transactions by cardholder?
All the transactions are extracted into one list. The balance check covers the whole statement, so a missed section shows up as a mismatch.
Can I import the result into QuickBooks?
Yes. Download the .qbo file or the 3-column CSV and import it into the matching credit card account.
Do foreign currency purchases come through?
Yes, as the amount charged to your card in the statement's currency, which is the figure that affects your balance.
